Check-in verification

Orders only from the guest who is staying in the room

A QR code on a desk can be photographed and used later. Check-in verification links the room to the surname of the current guest, so a stranger with an old photo cannot order dinner on someone else's bill.

Reception enters the surname at check-in. The guest types the same surname in the cart.

How it works

At check-in, reception types the guest's surname for the room. It takes about five seconds, on the staff board or in the room list. When the guest sends an order, the cart asks for the surname. If it matches the one entered at check-in, the order goes through.

At check-out, reception marks the room as free. From that moment the code in the room does not accept orders until the next check-in.

What it protects against

  • A previous guest ordering with a photo of the code after leaving
  • A visitor in the lobby ordering to a random room
  • Orders to empty rooms that housekeeping finds the next morning

Staff still accepts every order, and the room limits still apply: at most 5 orders per room in an hour and 3 open orders at a time. Verification closes the last gap, the one where an order looks normal but the person is not the guest.

Light on the guest

The guest types the surname they gave at the reception. No password, no account, no email. Accents and capital letters do not matter, so "Novak" matches "Novák".

When to switch it on

Hotels with high turnover, rooms visible from the street or a public lobby benefit the most. A small guesthouse where the owner knows every guest may not need it. It is one switch in the settings and can be turned on and off at any time.

Which plan includes check-in verification?

Pro. During the free trial every new hotel can use it for 30 days.

Does it work without a PMS?

Yes. Reception enters the surname in Roomtray directly. A PMS connection is planned but not needed.

What if two guests stay in one room?

Both use the surname from the booking that reception entered. Any phone in the room can order with it.

What if the guest mistypes the surname?

The menu says it does not match and lets them try again. Accents and capital letters are ignored. After too many wrong attempts the menu asks the guest to call reception.
