Room service for small hotels

Room service your guests order in their own language

A QR code in each room opens your menu on the guest's phone. The kitchen accepts the order on a tablet or in Telegram, and the amount goes on the room bill until check-out.

How it works

One order, from the bed to the bill

An ordinary evening in a hotel with 40 rooms. Nobody has to pick up a phone.

  1. The guest orders

She scans the QR code on the desk, picks a schnitzel and a Caesar salad in Ukrainian and taps Order.

  2. The kitchen accepts

The tablet in the kitchen rings and the same order arrives in Telegram. The cook taps Accept and sets 25 minutes.

  3. Delivered to room 214

The waiter marks the order as delivered. €39 is added to the room bill, and the guest sees the status on her phone.

  4. Check-out the next morning

Reception prints one bill with every order of the stay and adds the total to the PMS or till.

For the kitchen and the night shift

The kitchen hears every order

New orders ring on a tablet on the kitchen wall and arrive in your Telegram chat at the same moment. Staff can accept from either.

Accept with one tap
Accept or Reject right in Telegram. The guest sees the answer and the expected time on their phone.
A reminder after 3 minutes
If nobody reacts, the manager gets a second message, so an order cannot sit unnoticed during a busy breakfast.
A pause when it gets busy
One switch stops new orders for 30 minutes. Guests see a short note instead of waiting in vain.
Kitchen and bar apart
With Pro, drinks go to the bar and dishes to the kitchen, each on its own board.

The details

What changes for your team

The paper menu leaves the room and the reception phone rings less often. The rest of the work stays as it is.

26 languages, translated for you

English, German, French, Italian, Spanish, Polish and many more. Write the menu in your language and correct any automatic translation by hand.

One bill at check-out

Delivered orders collect on the room. Reception sees every open room, prints the bill and closes it after adding the total to the PMS or till.

The 14 EU allergens

Each dish carries its allergens as regulation 1169/2011 requires. Guests can filter for vegan, vegetarian and gluten-free dishes.

A stop-list in one tap

Out of salmon? Switch the dish off until tomorrow. It leaves the menu at once and comes back by itself in the morning.

Hours for each category

Guests see only what they can order now, and they can order breakfast for a set time the evening before.

Requests besides food

Extra towels, another pillow, a late check-out. Requests sit on the same menu and reach the same staff.

Security and privacy

Only guests staying in the room can order

A QR code on the desk can end up in a photo. Roomtray guards against that in several ways, and you decide how strict it should be.

Check-in verification

When it is on, reception types the guest's surname at check-in, which takes about five seconds. Orders only go through with the matching surname, and an old photo of the room QR code stops working after check-out.

Included in Pro.

Staff accepts every order
Nothing goes on the bill until someone at the hotel has accepted the order.
Limits for each room
At most 5 orders per room in an hour and 3 open orders at a time. A double tap never creates a second order.
New QR codes at any time
Reissue the code of one room or of the whole hotel. The old code stops working immediately.
Two-factor login
Owners and managers sign in with a second factor, and every hotel sees only its own data.
GDPR and servers in the EU
All data stays in EU data centres. Guest details on orders are anonymized after 90 days.

Questions

What hotels ask us first

Another question? Write to us at [email protected]

Do guests need to install an app?

No. The QR code opens the menu in the phone browser, without a download, registration or password. It works on any recent iPhone or Android phone.

How do we get the money?

The same way as for the minibar. The order goes on the room, and the guest pays everything at check-out at your reception, by card or in cash. Roomtray never touches the money and takes no commission.

What does check-in verification do?

Reception enters the guest's surname when they check in. From then on, orders from that room only go through with the matching surname, and after check-out the room code needs a new check-in. A photo of the QR code taken by a previous guest is useless.

What happens when the trial ends?

You choose Pro, or you do nothing and the hotel stays on Free. Free keeps the menu, orders, the staff board and Telegram for up to 15 rooms, so guests never see a switched-off menu.

What if the Wi-Fi in the rooms is weak?

The menu is a light page, so it opens quickly over mobile data too. If the connection drops while ordering, the order is neither lost nor sent twice: the guest taps again and gets the same order.

Can we change prices and dishes ourselves?

Yes, at any time in the admin panel. A new price applies to the next order straight away, and orders already placed keep the price the guest saw.

Does it connect to our PMS?

Not directly yet. At check-out, reception prints the room bill from Roomtray and adds the total to the PMS or till as one line, which takes about a minute.

How long does the setup take?

Most hotels are live in one afternoon. You get a starter menu with categories and requests, add your dishes and photos, print the QR codes and connect Telegram.
